Scheduling by ITECS Engineering

Scheduling – we prepare and drive your project schedule

Scheduling and its execution are core competencies of ITECS Engineering. We have more than twenty-five years in project controls experience for different industries. In early project phases, ITECS assists the project in Front-End-Loading (FEL) to define the project master plan. Later, with project progress, the Master Project Schedule (MPS) will be developed based on work packages definition, tasks and relations to each other. This Master Project Schedule should imply the resource and cost loading. With passing the authorisation gate, the Master Project Schedule will become the baseline of the project. All future project deviations will be measured and analysed against the agreed baseline.

Changes – we keep track on your project changes

Changes are part of every project. Only who accepts that changes exist and is able to track them has a good chance to excecute successful projects. Changes can appear out of multiple reasons:

  • Scope changes
  • Technical changes
  • Execution changes
  • Omissions
  • Hidden indifferences
  • Unplanned events

Our engineers do continously and consequently analize and document the impact on cost and schedule.

Communication – creating value by sharing significant information

Right at the start of a project, the customer and ITECS define the scope of project controls activities, involved project team members an intervals at which reports shall be rendered. By establishing fixed reporting periods, the project obtains a rhythm. ITECS can routinely render special reports on any aspect of the project (Milestone Trend Analysis, Critical Path Analysis, Earned Value Analysis, S-Curve Analysis, Schedule Risk Analysis, Time Impact Analysis etc.). The scope of project documentation will be defined and archiving will be prepared. Here, ITECS is familiar with all industry standards.

Cost assingment – we link cost information to schedule activities

Even at the start of a project, ITECS delivers crucial information for budget and spending plans, thus supporting the timely release of funds. ITECS keeps track of the project’s expenses, either planned or spent, based on the WBS or a Cost Account Breakdown. This allows our customer an up-to-date insight into project costs at anytime. Regularly rendered reports enable a timely recognition of deviations from the planned expenses, allowing appropriate countermeasures. ITECS either utilizes in-house developed tools that follow the standards of PMI (Project Management Institute) or uses customer software. Thus, ITECS serves as the interface between the project and a cross-project controlling department.

Organisation – we act as a central service for the whole organisation

ITECS gladly supports the handling of administrative duties within the organisation.

Quality – a sustaintable schedule helps to control the uncertainties

ITECS Engineering developed its own project management method, based on 25 years of project experience. The masterplan will be developed first and then defined as Baseline Schedule. Changes of the different departments, i.e. procurement or engineering, are requested in regular intervalls and incorporated in the schedule. The resulting reports are compared with the Baseline Schedule and grant a founded basis for decision making.

Resources – we optimize your project’s resource usage

Naturally, projects have limited resources at hand. It is crucial to a project’s success to identify resources, track availability and and plan their utilization. Project plans prepared by ITECS include these resource informations, thus automizing the dependency of resource usage and project progression.

Risk – we register, analyze and mitigate your project risks

Projects are subject to risks and chances, which have to be identified and evaluated at all times. In early stages of the project, ITECS assists in the preparation of feasability studies and stakeholder analyses. Risks will be indentified, implications and probabilities evaluated. Impact on cost and dates are determined. Risk will be mounted to that part of the plan where they are probable to occur, as this allows simulation of alternate scenarios. During the controlling phase of a projcet, the deterministic plan gives clear guidance to all involved parties. In risk management, alternate scenarios and impacts are determined, evaluated and compared to the current plan. This ensures that risks will be mitigated and chances be taken. ITECS analyses and documents risks with Oracle Primavera Risk Analysis.

Project structure – we create your homogenous WBS

Following the specification of the project’s scope, the Work Breakdown Structure (WBS) systematically splits up the work to be done. ITECS’ expertise and branch-specific reference projects as well as self-developed tools help to work out the project’s perfect presentation format. The WBS holds all tasks, representing and containing all work to be done in a project. Task responsable persons are identified by a RACI Chart. Those project members systematically describe the task’s details, thus allowing to gain informations for the project plan. Procurement activities will be integrated, if appropriate. ITECS is leading this process, as the WBS is the crucial basis for the schedule and its quality is of vital importance to all following processes.

Contracts and Claims – we track all relevant contract changes

In the area of contracts and claims, ITECS assists to define the project’s scope “Is / Is Not”. A project can only be succesfully executed and completed, if the whole project scope is clearly defined. The customer and ITECS work out a strategy / policy that determines which work is done internally or externally and how the external work will be ideally allocated. Specifications of how the contractors’ project controls is linked to the customers’ as well as interface-matrixes are developed. In the course of the project, ITECS assists with tendering processes as well as contract awarding and controls all contracts with respect to timely and monetary fulfillment. The impact of contractual service deviations will be rated and documented.
